    What is our primary use case?

    My main use case for Pipefy is that we used it for everything; all the areas of BIP Saúde used Pipefy: the data area, HR area, supplies area, logistics area, operations area, finance area, so all the areas were connected and interconnected through Pipefy.

    I won't be able to give you a specific example of how we use Pipefy in finance because I wasn't in the finance department, but I used it, for example, in operations, and whenever a ticket was opened to let us know that a car was late in our operation, we would receive this ticket, check it, respond, and then move it through the appropriate stages, through its boxes on the kanban. This is something very good about Pipefy because it uses kanban, which is an easy way to visualize things and it doesn't get confusing or difficult for anyone. Additionally, we created several automations which we used a lot in other departments to create forms and create processes within Pipefy that improved our day-to-day work.

    How has it helped my organization?

    Pipefy has positively impacted my organization by organizing us to leave everything out in the open, so to speak; we had visibility of everything, we also had the time each process took, and it's a more organized way of knowing where each follow-up item is. I believe this is something very good because it worked well for me and it made me more organized.

    Pipefy saved us time and helped with our collaborative work. For example, if at some point I couldn't see a demand, a colleague of mine could see it and could help. So besides enabling collaboration between teams, Pipefy is a very practical work model.

    What is most valuable?

    The best features Pipefy offers are the visualization. Nowadays, people have a lot of difficulty with many things, so a clearer, cleaner, more objective visual is great because then we don't need to spend much time training anyone new. I really appreciate objective things, and I think this is great because then we don't need to spend much time training anyone new. It's all kind of intuitive, and as I mentioned before, this kanban visual is very practical, with colors highlighting what each thing should be. I believe that from the most basic position up to management, everyone can use Pipefy perfectly because of these characteristics.

    The visualizations in Pipefy are very good. From the most basic position to the most advanced, everyone can understand what is being done and what can be done. We don't waste much time teaching anything to anyone new because it's very clear, direct, and objective. I appreciate things that are clear, direct, and objective, so the visualization in Pipefy, because it uses this kanban model, is very practical.

    What needs improvement?

    I think Pipefy is great and very good; but there is always something to improve and enhance. I believe that at some point it can enhance some aspect much better, which probably no one is even identifying right now. For me, it worked well, but I heard reports from other people that it didn't work very well or that they didn't understand it very well. However, I won't speak with authority about other people; I'll speak about myself.

    For how long have I used the solution?

    I used Pipefy for four years while I worked at the company BIP Saúde.

    What do I think about the stability of the solution?

    Throughout the whole time I used Pipefy, I liked it a lot. It's very practical and very fast, and I never had problems. All the operations I created through Pipefy always worked, and all my forms that were also created with Pipefy worked perfectly. I don't remember any moment when something had an error or when something froze my operation. Pipefy always worked perfectly for us.

    What other advice do I have?

    I believe that Pipefy is secure because it is a highly reliable tool, and I believe that it doesn't have data leaks or all these security problems that we have. I would rate my overall experience with Pipefy as a ten.

    What is our primary use case?

    My main use case for Pipefy is to receive tickets from other departments. I use Pipefy as my main tool to receive tickets from other departments, respond to them, and track the response SLA.

    Besides using Pipefy for tickets with interaction with other departments, I also use it to issue some types of reports.

    What is most valuable?

    The best feature that Pipefy offers me is the ease of using the tool. This ease of use impacts my daily work because in the cards themselves we can identify the tickets as soon as we open the tool.

    Pipefy has had a positive impact on my organization because it brought me more visibility to map the bottlenecks we were having within the operation so we could work on them.

    I monitor the visibility that Pipefy has brought by its integration with our emails and the Slack tool, which gives me visibility of all the cases that other departments are reporting to me, and this ends up not impacting the ticket volume significantly.

    What needs improvement?

    In my opinion, Pipefy could be improved by enhancing the way of configuring the information in the email we receive, as sometimes the information in the email is not complete compared to what is on the card.

    My main use case for Pipefy is to make it easier to organize the month's tasks and the team's general tasks in my day-to-day work. For example, if there was a task in the administrative company where I worked, such as making a payment and I needed other people to participate, I put it in Pipefy and we would move the cards there as the activities were completed.

    What is most valuable?

    The best features that Pipefy offers are the ability to do things in an organized way and as a team. Beyond this team collaboration, I consider valuable the way I can organize things, and the automation aspect is very good in Pipefy. I also appreciate the reporting aspect and the reports that are generated in Pipefy, which I consider important.

    Pipefy has had a positive impact on my organization because after using the tool, I noticed that I can do things in a more agile way.     What is our primary use case?

    Pipefy was used to manage payments to suppliers and contracts in the operations area for travel management. On a daily basis, I used Pipefy to control payments to direct suppliers, contractors, hotels, rentals, monthly contracts, and one-off contracts with other service providers, as well as other platforms that required oversight of all payment dates, amounts, and manager approvals.

    The control was very easy with Pipefy. The platform is very intuitive, and the adjustments made by the company were positive, allowing us to use it with ease, which helped significantly with our productivity and necessary control.

    What is most valuable?

    Regarding the positive points of Pipefy, I believe the first point would be the issue of autonomy, one of the great advantages that allowed the finance team to create and change flows and forms without depending on the IT queue or technology, while already complying with the rules defined by the company. The team made all the adjustments and everyone ended up benefiting, and whenever possible, we provided feedback and input so that something could be improved and scaled. This resulted in less friction, less noise, and more fluidity and agility in processes.

    Another positive point is the issue of visibility and SLA control. Centralization in Pipefy helped us significantly in controlling deadlines, allowing each user to see the status of each request and each card instantly. I had my own controls, for example, being responsible for payment order requests to our suppliers.

    Among the features of Pipefy, I believe the adjustment that each company can make in the fields to personalize them according to their needs is notable. The cards are created with the configuration and information needed for each one.

    Pipefy had a very positive impact, mainly in terms of productivity and control. The company started to have far fewer errors, much greater control of documents, and centralization of all processes within the platform, making it much more practical to use.

    A much greater control of processes was noticed with Pipefy, where emails stopped being used to send something directly to departments, for example to finance, to provide a payment or other related issues. Everything was centralized within the platform, and each user uploads a document there, which is recorded within a card, and the department that receives it immediately follows up and makes payments within the deadlines defined by the user. This control is much greater and much better, and as users we can track the deadlines from the creation of the card to its correct completion and follow it at each stage.

    Time savings and much greater efficiency were achieved with Pipefy. The company has a high volume of contracts, payments, and other documents to manage, and Pipefy facilitated this centralization of information. There was a reduction mainly in time that used to be lost, greater efficiency, and productivity gains on the part of the employees.

    What needs improvement?

    At the time when I used Pipefy, it did not end up being the case for me in my travel management area. However, in other departments, I had the opportunity to observe that there was a high volume of cards and many phases, so navigation got a bit slow and even required excessive scrolling to locate them. Even with the system of searching by word or term to find the cards, this was an issue. In my area, we had an average number of cards, and we could manage them with relative ease.

    Within the company where I worked, at EstrelaBet, we had already been using Pipefy for a little over a year.

    Pipefy is stable. We had very few issues of unavailability or failures in use, very occasional, but they did not interfere at all with daily use, and it had very good stability.

    What is our primary use case?

    My main use case for Pipefy is managing cross-area processes, including the sales team's process and the handoff process from the sales team to the operations team.

    I use Pipefy for the sales process in which the lead lands in a stage of waiting for service, then moves to an activation stage where we connect with that lead. Then we move into a process of communication with this lead through negotiation, followed by a proposal stage and closing the sale.

    Pipefy helps me accomplish the workflow as described through the steps involved in the sales process. Something unique about how I use it is that it covers the aforementioned processes well.

    What is most valuable?

    The best features Pipefy offers include the process of managing required fields per phase with conditionals, which is what makes Pipefy stand out from the others.

    The most relevant feature in Pipefy today is the process of modeling customized stages with customized fields per stage and required fields that may or may not trigger automations. This is the single differentiator of Pipefy today.

    The specific positive outcome I noticed after using Pipefy is that the visual infrastructure makes the operationalization process easier with the teams.

    What needs improvement?

    Pipefy can be improved significantly as it lacks native, official WhatsApp integrations and lacks integrations overall. Integrations are only available through an advanced integration request that has never worked for me because they charge for that. Additionally, Pipefy lacks all the infrastructure for a sales team to be able to operate inside it, including task management, tasks, reminders, integration with Gmail, calendar, meetings, and Google Meet. This infrastructure for connecting with day-to-day software is essential.

    Something that could make my experience even better is if the integrations were more robust.

    The impact of Pipefy was a lot of work and I had to replace it due to no clear benefit because the cost made it unviable.

It was a lot of work to implement, and I had to implement another CRM and another BPMN instead to replace Pipefy with a cheaper solution.

    What is our primary use case?

    Our registration and credit analysis pipeline goes entirely through Pipefy. We acquire companies and monitor the entire analysis process through Pipefy's pipeline.

    In the registration and credit analysis process, the sales manager acquires the company and uploads the necessary documents through a link we send from Pipefy. He uploads the documentation and all the information he has about the company, and from that point, we begin validating each piece of information he submitted in our pipeline and workflow created within Pipefy. For all communication automation with the client, if the company has any pending issues, we notify them via Pipefy automations.

    The entire registration and credit process from beginning to end is completed within Pipefy. When the company is able to carry out operations with our fund, we extract all the analysis we have done within Pipefy and send it to one of our databases to keep this information saved and to be able to conduct new analyses based on this data.

    What is most valuable?

    The best features that Pipefy offers me in this workflow are that first, the user experience is very simple, clear, and objective, and very intuitive. Additionally, the automation part is very complete. We can create several types of automation for communication and AI integration. The automation part is very complete compared to what the platform and other players in the market tend to offer.

    Overall, Pipefy has had a positive impact on my organization by organizing the entire registration and credit part of the company. This is a very important and large department within our company, and Pipefy solved a significant portion of it, so I believe the impact is quite significant.

    Certainly, there has been measurable improvement with Pipefy, such as an increase in productivity due to no longer performing so much manual work. Simple document validation that we used to do one by one, examining all of them manually, can now be done automatically through AI extraction. There is also a substantial gain in the recording of this information because it is no longer scattered. We can record all of this, create a database within Pipefy, and store all the information we need there.

    Pipefy can be improved by creating a more complete integration with WhatsApp. That would be interesting because nowadays WhatsApp is a very widely used communication channel, and from what I observed within the platform, most of the communication automations are via email and SMTP protocol. I believe integrating with WhatsApp or at least another communication application would be interesting.

    Pipefy is stable. We have never experienced any problems with it going down or any feature being unavailable. Everything has always worked very well.

    I use Pipefy to control leads and sort out customer evaluations for new customers. When a new customer comes in, Pipefy helps me manage that process by assisting with the timeline, including the first contact, what they communicated, whether the lead is hot or cold, and if we should continue with the negotiation. I also sometimes use Pipefy to write down proposals for customers.

    What is most valuable?

    In my opinion, the best features Pipefy offers include the overview of the leads and the situation, where we can go, and where we should stop while considering the future.

    The overview of the lead situation is valuable for me because of my time constraints. When I see that a customer is cold, I should leave that and move forward with someone else. Pipefy has positively impacted my organization by helping me manage my time better. I can share that I think I can save my time by half. For example, if I needed to evaluate a customer without Pipefy, I would use significantly more time.

    I use Pipefy to move through the stages of progress in negotiations with my leads, so they progress from an initial stage of first contact or meeting to a presentation stage, then closing and paid.

    I use Pipefy to integrate with my calendar and email.

    What is most valuable?

    The best features that Pipefy offers in my experience are that it has an easy learning curve, it is a very simple system to use, and I can learn its processes very easily because it is very intuitive.

    Besides the ease of use and quick learning curve, I find it useful in my daily work that Pipefy already comes with ready-made templates and preconfigured models, and that it helps teams structure processes.

    Pipefy has a positive impact on my organization mainly because of the layout and visualization; it has a very clear and very simplified visualization, and I can easily understand which stage of the deal each lead is in.

    I believe that Pipefy can be improved because the mobile app for smartphones is very limited; it does not have the same fluidity and the same features that the web version for computers has.

    Support is an area of Pipefy that I see has some room for improvement because there is a delay in support responses, and I find the support system somewhat bureaucratic.

    The process of training and user adoption for using Pipefy involved the area that designed the methodology and the sales funnel processes training the employees in the commercial area to use it, as they used another system called HubSpot before.

    The integration of Pipefy with other tools that we use internally was a simple integration that we used with Google tools through APIs.

    I rate the cost-benefit of Pipefy in relation to what it delivers as very good because it is not software that has a very high cost and it delivers a lot of functionality and a lot of efficiency in the commercial area.

    What other advice do I have?

    I would advise other people who are thinking about using Pipefy to conduct a conversion or migration to Pipefy with caution and in a very structured way, taking advantage of Pipefy's AI structure and Kanban structure and setting up intelligent automation.

    I believe that Pipefy is an excellent tool with great cost-benefit, with a low cost for what it delivers, and that it is being improved little by little and integrated with several types of systems, but it still has to improve mainly regarding the lags that occur in integrations. I rate this review an 8 out of 10.
